Contracted Hours: 40 hours per week (8:30 a.m. to 5:00 p.m. with half hour lunch) (hours are negotiable)
Supervisor: Senior Pastor HUMC

Vision of the position of Office Administrator: Support the various ministries that offer Christ’s love and God’s grace, connecting with individuals and families to build authentic relationships with one another and Christ.

  • At least 21 years of age
  • At least 2 years of college or specialized training preferred
  • At least 2 years of experience in office administration/secretarial skills
Responsibilities: (include but are not limited to the following)
  • Serve as the primary contact for HUMC by greeting guests, answering phones, relaying messages, sharing information, and providing general assistance as needed.
  • Be knowledgeable of the needs of the congregation (hospitalizations, homebound, illnesses, and situations that need pastor/staff attention)
  • Maintain strict confidentiality in all communications
  • Engage church through social media and keeping the website up to date
  • Communicate needs and issues where appropriate as designated by the Pastor
  • Maintain accurate church membership records (Tithe.ly)
  • Coordinate with and assist church treasurer, and/or financial secretary in the payment of monthly bills, and communicate with companies regarding billing inquiries
  • Use Quickbooks to record expenses and prepare checks for bills and reimbursements
  • Prepare the weekly bulletins, and any inserts that are needed
  • Prepare weekly PowerPoint presentations for worship
  • Prepare and edit church newsletter using Publisher and deliver to the post office for mailing
  • Prepare and send electronically the newsletter
  • Prepare and print calendar, birthdays, anniversaries, and homebound list to be mailed monthly with newsletter
  • Handle correspondences for the pastor
  • Handle correspondence for staff, and church committees as directed by the pastor
  • Advise persons by e-mail, phone, or mail of meetings as directed by pastor or committee chairperson
  • Keep a current calendar of church events. For example: persons needing to use classrooms, the RCLC etc. (Pastor has final approval on scheduling)
  • Prepare annual HUMC reports for District and Conference UMC requirements
  • Prepare material for pastor / staff / committees related to various projects and ministries in the congregation.
  • Maintain a strong social media presence engaging the church body.
  • Coordinate record keeping for the church, office and committees.
  • Administer the church office and equipment:
    • Order supplies or equipment as instructed by the Pastor or Trustees
    • Arrange equipment maintenance or service
    • Communicate with groups or individuals regarding scheduling of the building or classrooms for meetings or functions
    • Other duties as may be assigned by Senior Pastor
  • Other duties as assigned by pastor
Performance Expectations:
  • Understand the organization and ministries of HUMC and The United Methodist Church
  • Willing to learn from others • Work collaboratively and cooperatively with staff and church members – team player
  • Strong computer skills are imperative (MS Windows, Word, Excel, Publisher, PowerPoint, Google calendar/mail, Quickbooks, and able to update and maintain website)
  • Proficiency in the use of standard office tools
  • Minimum typing 65 WPM with excellent command of English composition, grammar and punctuation
  • Follow guidelines set forth in HUMC Employee Handbook
  • Be trained in and abide by the HUMC Safe Gathering policy
  • Attend all regularly scheduled staff meetings and keep minutes of staff meetings
  • Maintain strict confidentiality as it relates to pastoral concerns of church members and staff
  • Maintain a professional atmosphere in the church office at all times
  • Effectively communicate ideas, thoughts and feelings
  • Demonstrate strong and effective organizational skills
  • Able to work at a fast pace within a variety of settings and circumstances, with composure and flexibility while exercising discernment and wise judgment
  • Be a self-starter, good at multi-tasking and prioritizing projects, and give extreme attention to details with an eye for excellence
  • Participate in performance review, at least annually
  • Participate in soul-care taking annual vacation and holiday time
